Team fee allocation:

Costs:

plus

HK$ 350.00 per player to form the basis of the team contribution to Operation Santa Claus = total HK$5,000.00 per team of 10 players.

Cheques for the team entry fees should be issued to Laj Taj Miu. Rovana [must be written exactly like this please].

and post to:

E-mail: rovana_lai@hk.polargrp.com or rovana@hk.polargrp.com

Cheques to arrive by Friday 30th September 2011 to allow sufficient time for ordering trophies etc - entry fee includes trophies, court fees, balls etc. Please try to get these cheques out to us immediately as there are still a lot of preparations to work on and this requires the entry fees. If convenors can pay first and collect later, that would be ideal!

Once cheques have been received, if the team fails to materialise, the participation fee and charity donation will automatically be included in the donation to Operation Santa Claus.

Any surplus from the participation fees after deducting running expenses and cost of trophies etc, will be donated to Operation Santa Claus. HK$ 350.00 charity fee per player will automatically go to the Operation Santa Claus appeal.

CHARITY APPEAL~ the underlying purpose of the tournament is to try to raise as much money as we can in support of the RTHK/SCMP Operation Santa Claus Appeal [OSC]. Last year we raised an incredible HK$ 1,075,280.40 out of the total for the 2010 OSC campaign of HK$ 13,300,491.84. This is equivalent to 8.08% of the total raised in HK – you can be rightly proud of this achievement. I would like to see us do better than that in 2011 being the 13th anniversary of the Wing Ding tournament. Together, I know we can achieve this so let’s knuckle down and make it happen! Hong Kong’s needy are depending on us so let’s work together to make their dreams come true this Christmas.

I do need the help of the team convenors to spread the word about the event to players and other members of their respective clubs and to encourage their team members to tap their networks. Please let's try to get each team to raise at least HK$30,000.00/team – this should not be too difficult to achieve and will make a huge difference to the beneficiaries of the charity.

There will be a donation thermometer on the website where anyone can make a pledge/donation on line with payment by cheque. I hope that the teams will compete to try to be the most successful fundraisers – there will be a prize for the team raising the most money for the charity.

Tax efficient – all donations over HK$ 100.00 are tax deductible. Official tax receipts will be issued by SCMP usually sometime in January or February. *PLEASE NOTE: It is up to individual donors to check how the official tax deductions work in relation to their own particular circumstances. Full details are available online at:  Tax Information :    A summary of the relevant text appears at the end of this document*

Convenor’s Notes  ~ 13th Wing Ding ~ 2011

In the 14 team format, each player will play 13 opponents

The No 10's through to and including No 3's will play 13 sessions of 3 minutes [39 minutes] whilst the No 1's and No 2's will play 13 sessions of 4 minutes [52 minutes].

The court sequence will be shown on the back of each court. With the 14 team format, we will be using all the HKFC courts from 1-7 inclusive.

VERY IMPORTANT: please ensure each team member arrives at least 30 minutes early as any latecomer can ruin the day for an entire team!

As usual:-

  1. The day is all about having fun. Please communicate to your teams absolutely no arguing with referees, friendly banter is ok, but no serious complaints, yelling or throwing toys.

    REMEMBER PLAY IS CONTINUOUS.

MARKERS SCHEDULE: 9's mark 10's, 8's mark 9's, 7's mark 8's and so on. No 1's should be marked by No 10's.

  2. Remember to have the markers ready to go straight on court after first having given in the score sheet (to the organisers).

  3. When each 3 minute session has been completed, please leave the ball on the court for the next players coming through.

  4. Please encourage players to stay throughout proceedings as there will be prizes, an excellent raffle draw and of course a cash bar where we can toast Wing with a few pints of beer!

  5. Remind your players that if they arrive at the correct court they need only give their name to the marker and then may start serving even if the opponent is not yet on court. ie, play is continuous throughout all the 3 minute sessions.

  6. Colours: your team has a colour – see Team details.
    • If you wear a T/squash shirt of the correct colour you start with 10 bonus points.
    • If you add shorts and socks of the correct colour, pick up another 10 bonus points
    • There are a further 10 points for extra effort to add to the colour – same colour wrist bands, etc.
    • Maximum bonus points is 30 points

  7. In a running teams tournament of this size any "no shows" will cause chaos, so will all captains bring a spare set of their coloured kit in the case of reserves needing to fill in. Reserves will be provided in the absence of teams providing their own. If captains pay enough attention to the detail we shouldn't need to use this, but be prepared or expect to be fined penalty points!

  8. Each player [No 8's through to No 3's] will play 13 X 3 min matches. No 1's and No 2's will play 13 matches of 4 minutes each.

Once a 13 match session has been completed, 2 minutes are allowed for turnaround and 2 minutes for warm up before the next level begins.

  9. TIMINGS ARE AS FOLLOWS:-

1000 Please arrive at the Hong Kong Football Club in plenty of time (if you are usually late - don't be late for this is as running teams is ruined by no shows / late comers) - this will allow you have time to communicate with your team mates , dress up, apply make-up, scratch etc

Additional Notes

Be warned ~ inform your team mates that running teams is no walk in the park, get as fit as you can for it. IT IS REALLY WORTH THE EFFORT – IT IS A FUN AND WORTHWHILE COMMUNITY EFFORT TO HELP THOSE IN NEED! JOIN US TO MAKE A DIFFERENCE HERE IN OUR HOME, HONG KONG.

Format:

  • All like numbers play each other. You will play your corresponding number from each of the other 13 teams one after another without a break. The winning team will have amassed the highest total number of points.
  • Scoring: American scoring; you accumulate as many points over your 13 games as possible. There are no games or sets and no limit to the number of points you can accumulate ~ so don't stop at 15, keep playing until you hear the horn blast.

Start:

  • Check which court you are supposed to be on – there will be a schedule on the back wall of each court. A double blast of the horn/whistle signifies the 2 minute warm up period (1 minute each side). A single blast on the horn/whistle starts play.

Change:

  • Another single blast on the horn/whistle signifies the end of a session and the time to change court. Finish the rally you are playing, move immediately to your next court to play your second session (and so on for your third, fourth etc until you have played all 13 opponents in your 14 team section. You start 0-0 afresh with each opponent.

Scoring:

  • Your 13 scores will be added together, together with bonus points for effort and kit, and put towards the team score. There will also be bonus points on offer to teams who have made the most effort in raising funds for the charity appeal.

How long?

  • For those playing at No 10 through to No 3, each session lasts 3 minutes. Total 39 minutes (13 opponents X 3 minutes). Bear in mind that it can take you 30 seconds or more to reach your next court at the changeovers. No 1's and No 2's will play 13 matches of 4 minutes = 52 minutes
  • Breaks between sessions – there are none.

Court changeovers:

  • Teams need to co-ordinate and direct their team mates to the correct courts – team convenors will have to lead the way here and help the team save valuable point scoring opportunities
  • When you hear the horn blast, do NOT finish the rally – just stop and make your way to your next court
  • Leave the ball on court – do NOT take it with you! If you take the ball with you, it spoils the afternoon for the next pair on that court.
  • After each game therefore when you hear the horn blast, your team mates will (hopefully) direct you to the next court you are supposed to be on and provide you with a drink, emergency massage etc.

Early Server ~ "the early bird catches the worm":

  • When you reach the next court, first player to arrive collects the ball. You may start to serve and continue to do so from alternate sides, regardless of whether your opponent is on court. Keep on serving and re-serving until he or she arrives on court – points in the bag!

Fouls:

  • Normal rules apply to 'strokes' and 'lets' - DO NOT ARGUE WITH THE REFEREE.

The End:

  • The end of your last (13th) session is signalled by the double blast of the horn/whistle.

Your score:

  • When you've picked yourself off the floor / out of the water machine, it is each players responsibility to check their own score has been added up correctly.

Marking:

  • EVERY player has to mark one rubber, regardless of whether they want to / know how to.

Injuries:

  • If a player becomes injured, another player from his/her team can be substituted immediately. That replacement player has to be a lower ranked player. E.g., for number 2's, only a 3 or lower can substitute.

The Winning Team:

  • Will be the team that scored overall the highest number of points.

Questions?????

  • Ask your team captain.

All the best for an excellent 13th Wing Memorial Squash Tournament at the Hong Kong Football Club ~ may the best team win!
